What happens to your recording, your transcript and your email when you use AllNote Transcribe.

What we collect

• Your file and transcript. The audio or video you upload, the transcript we make from it, and the language you picked.
• Your email, if you pay, buy credits, sign in to "My credits" or ask us to email you a preview. We use it to send your transcript link, receipts, sign-in links and, if you asked for one, a single reminder before an unpaid preview is deleted.
• Payment details are entered on Stripe's checkout page. We never see or store your card number; Stripe tells us the payment went through and the email used.
• Technical data: your IP address and browser details, used to limit free previews per day, stop abuse and keep the service running. Logs are kept for a limited time.
• Usage events such as "upload started" or "preview viewed", without the content of your file, so we can see where the site works and where it doesn't.

How long we keep it

• Uploads that are never paid for: deleted after 24 hours.
• Paid transcripts and their audio: deleted 7 days after the transcript is ready. You can delete them sooner from the transcript page.
• Credit balance and purchase history: kept while you have credits, and as long as tax and accounting law requires for payments. This keeps the date, minutes and amount, not your audio or transcript.

Who processes your data for us

• Microsoft Azure converts your speech to text and hosts our servers. Microsoft does not use this audio to train its models.
• Stripe handles payments and tax.
• Cloudflare Turnstile checks that uploads and payments come from a person, not a bot.
• Our email provider delivers transcript links, receipts and sign-in links.

Each of them only gets what it needs for its job. We don't sell or rent your data to anyone.

Cookies and storage

The site stores a few things in your browser so it works without an account: which jobs you uploaded and your "My credits" sign-in. The allnote.ai website also uses Google Tag Manager and Meta (Facebook) measurement tags to understand how visitors find us. You can block these in your browser without breaking transcription.

Recordings of other people

Before you upload, you confirm you have permission from the people in the recording. We process their voices only to make the transcript you asked for, and delete it on the schedule above.

Your rights

You can ask us for a copy of the data we hold about your email, to correct it, or to delete it, including your credit history where the law allows. Email support@allnote.ai from the address you used. If you're in the UK or EU you can also complain to your data protection authority.
