Pay per file vs subscription transcription: which costs less?

In short

  • Subscriptions charge every month, used or not. They win when you transcribe many hours every month.
  • Pay per file charges only for the audio you upload. It wins when your use is irregular.
  • The sum that decides it: the plan's monthly price divided by the hours you actually transcribe in a typical month.
  • Allnote on the go is pay per file, with credit packs that never expire. Its live prices are in the box below.

Most AI transcription apps sell monthly or yearly plans. That makes sense if you transcribe every week. If you transcribe a few interviews a term or one long recording a month, a subscription can quietly cost more than the work is worth. This guide compares the two models and gives you a sum to check any plan against our live prices or the free transcription cost calculator.

Disclosure: this blog belongs to Allnote on the go, which charges per file. We have kept the comparison fair, and we say below when a subscription is the better choice.

The two pricing models

Subscription. You pay a fixed amount every month or year. In return you usually get an allowance of minutes or hours, and often extra features. You pay whether you use it or not, and you have to remember to cancel.

Pay per file (or prepaid credits). You pay for the audio you actually transcribe. Nothing renews. Some services sell prepaid credits, which lower the per-minute price when you buy more at once.

Neither is a trick. They suit different people.

How to compare any subscription

You don't need every app's price list. Take the plan you're considering and:

  1. Note its monthly price (or the yearly price divided by 12).
  2. Divide it by the hours you actually transcribe in a typical month, not the hours the plan allows.
  3. That's your real cost per hour on the subscription. Compare it with the per-hour figure in the price box below.

The key word is typical. A plan that looks cheap per hour on paper becomes expensive in the months you use a fraction of it.

A quick way to see the break-even point: if a plan costs the same each month as three hours of pay-per-file transcription, it only saves you money in months where you transcribe more than three hours. In every quieter month, pay per file costs less.

Upload tools compared by pricing model

These are tools for recordings you already have. Checked in October 2026. Check each company's own page on the day you decide, because plans change often.

Option Pricing model Free option Good for
Rev Subscription with a monthly AI allowance; human transcription charged per minute Free plan: 45 AI minutes a month, English only Anything a person must check
TurboScribe Free daily allowance, then one flat "Unlimited" plan 3 files a day, up to 30 minutes each Many hours, every month
Meeting-assistant apps Per-user subscription, monthly or yearly Free plan or trial, often with limits Teams with daily calls
Allnote on the go Pay per file, or prepaid credits that never expire Half of each file, up to 5 minutes Occasional files, many languages

Things that change the sums

Look beyond the headline price:

  • Months you don't use it. A subscription charges for quiet months too. Credits wait for you.
  • Unused allowance. Check whether unused minutes roll over or disappear at the end of the month.
  • Yearly billing. Paying yearly lowers the monthly figure but commits you for twelve months.
  • Minimum charges. Pay-per-file services may have a minimum per order. On Allnote on the go, files uploaded together share one minimum, and pack credits are charged by the minute with no minimum.
  • Trials. Check whether a card is needed and whether the trial renews into a paid plan.
  • Extras. If you need summaries or minutes, compare those too. On Allnote on the go, AI notes are an optional add-on per file.

Three common situations

A student with eight interviews. Eight interviews of about 45 minutes is 6 hours, needed once. Pay per file or one or two packs covers it, and there's nothing to cancel when fieldwork ends. Students buying a pack with a university email get extra credits.

A podcaster with two episodes a month. About 2 hours every month, steady. Packs bought as you go work well; whether a subscription is cheaper depends on its price and whether you'd use its other features. Run the sum above.

A team transcribing meetings every day. Here a subscription, or a meeting assistant that joins calls, is likely the better fit. The team behind Allnote on the go also makes allnote.ai for exactly that.

When a subscription is the better choice

A subscription often makes more sense when:

  • you transcribe many hours every single month,
  • you need team workspaces, integrations or live meeting transcription,
  • you want one predictable bill for a team.

Pay per file is usually better when your use is irregular, when you need one or two files now, or when you'd rather not manage a recurring payment.
